At Reactforce, your privacy is a priority. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you interact with our website, products, and services, including any AI-assisted or automated features we offer. By accessing our website or using our services, you agree to the practices described below.

Information We Collect

We collect both information you provide directly and information collected automatically.

Information you provide

•      Name, company name, job title, and contact information (email address, phone number, mailing address)

•      Billing and payment information

•      Messages, inquiries, feedback, or support requests you send to us, including content submitted to chat or AI-assisted support tools

•      Account registration information or service credentials, if applicable

Information collected automatically

•      IP address, device and browser type, operating system, and referring URLs

•      Pages visited, session duration, and interactions with our website

•      Device identifiers and log data

•      Approximate or, where you enable location services, precise geolocation

•      Information from cookies, analytics, and tracking technologies to understand site usage, improve performance, and personalize experiences

•      Inferences we generate from the information above to understand preferences and usage patterns

Sources of data

We collect information directly from you, from your organization (if you use Reactforce on behalf of your employer), from our service providers such as analytics or hosting platforms, and, where applicable, from publicly available sources.

How We Use Personal Information

We use personal information for the following purposes:

•      To operate, maintain, and improve our website and services

•      To respond to inquiries and provide customer support, including through AI-assisted or automated support tools

•      To process transactions and send service-related communications

•      To enhance security, prevent fraud, and maintain system integrity

•      To deliver product updates, newsletters, or marketing materials (only when permitted by law and subject to your preferences)

•      To comply with applicable legal obligations and enforce our terms of service

•      To conduct analytics, develop aggregated insights, and improve user experience

•      To develop, test, and improve internal automated or AI-based features; where we use personal information to train a model, we take steps to de-identify or aggregate that information where feasible

We do not sell or rent your personal information.

Automated Decision-Making and Profiling

Some of our features use automated tools, including AI-based systems, to help route support requests, detect fraud, or personalize content. Where such processing meets the legal definition of a significant automated decision or profiling under applicable state law, we will provide notice and, where required, an opportunity to opt out or request human review. You may contact us using the instructions below to ask whether a particular decision involved automated processing.

Disclosure of Information

We may share your information with:

•      Service providers and vendors who help us operate our business (for example, cloud hosting, analytics, payment processing, CRM, customer support, or AI infrastructure providers) under contractual terms that restrict their use of your data to providing services to us

•      Legal authorities when required to comply with law, subpoenas, or legal process, or to protect the rights, property, or safety of Reactforce, our users, or others

•      Successors or acquirers if Reactforce undergoes a merger, acquisition, financing, or corporate reorganization, provided equivalent protections remain in place

We do not “sell” personal information in the traditional sense. However, under some state laws, data shared with third parties for targeted advertising or certain analytics purposes may be considered a “sale” or “share.” See Your Privacy Rights below for information on opting out.

Sensitive Personal Information

If Reactforce collects information considered “sensitive” under applicable state law — such as precise geolocation, account log-in credentials, biometric identifiers, racial or ethnic origin, health information, or immigration status — we process it only when necessary to provide our services, fulfill legal obligations, or with your consent when required. We do not use or disclose sensitive personal information for secondary purposes such as marketing, and where state law grants a right to limit use of sensitive personal information, you may exercise it using the instructions below.

Your Privacy Rights

Depending on your state of residence, you may have the following rights regarding your personal information:

•      Right to Know and Access: Request details about the personal information we collect, use, and share.

•      Right to Delete: Request deletion of personal information, subject to legal and contractual exceptions.

•      Right to Correct: Request correction of inaccurate personal data.

•      Right to Data Portability: Request a copy of your data in a portable format.

•      Right to Opt-Out: Opt out of the sale or sharing of personal information for targeted advertising, and of profiling that produces legal or similarly significant effects.

•      Right to Limit Use of Sensitive Personal Information: Ask us to limit the use of sensitive personal information to what is necessary to provide the services you request.

•      Right to Non-Discrimination: Exercise your privacy rights without discrimination in price or service quality.

•      Right to Appeal: If we deny your request, you may appeal by emailing us as described below.

How to Exercise Your Rights

You or your authorized agent may submit a request by emailing info@reactforce.com with the subject “Privacy Request.” Please include your name, contact information, the nature of your request, and your state of residence. If you are submitting a request through an authorized agent, we may require proof of the agent’s authorization and may still verify your identity directly.

We may verify your identity or authorization before completing the request. We will respond within 45 days, extendable once by an additional 45 days if reasonably necessary, or within any shorter period required by your state’s law.

To appeal a denied request, please reply to our decision email or send a new message with the subject “Privacy Appeal.” We will review and respond within 45 days, or within the timeframe required by applicable law.

Opt-Out of Sale, Sharing, and Targeted Advertising

Reactforce does not sell personal data for monetary value. However, some states define “sale” or “sharing” to include data used for cross-context behavioral or targeted advertising. You may opt out by:

•      Visiting our “Do Not Sell or Share My Personal Information” link, available in our website footer

•      Enabling a recognized browser-based or device-based opt-out preference signal, such as Global Privacy Control (GPC), which we honor for residents of states that require or recognize such signals

•      Adjusting your cookie preferences through our cookie consent banner

State-Specific Disclosures

This Policy is intended to address the requirements of comprehensive state privacy laws, including those currently in effect in California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, Delaware, Iowa, Nebraska, New Hampshire, New Jersey, Tennessee, Minnesota, Maryland, Kentucky, Rhode Island, Indiana, and other states that have enacted comparable laws. Where a specific state’s law provides broader rights, longer opt-out recognition requirements, or different timelines than described generally above, we honor the requirements applicable to your state of residence. Residents of a state not listed above may still contact us with any privacy request, and we will respond consistent with our standard process.

Data Retention

We retain personal data only as long as necessary to fulfill the purposes described in this Policy, comply with legal, tax, or contractual requirements, resolve disputes, and maintain appropriate business and security records. Retention periods vary by data type and are set out in our internal retention schedule. When information is no longer needed, we securely delete, anonymize, or archive it.

Data Security

We use administrative, technical, and physical safeguards designed to protect personal data against loss, misuse, unauthorized access, or disclosure, including encryption, access controls, monitoring, and employee training. If we become aware of a security incident affecting your personal information, we will notify you and applicable regulators as required by law. While we take these precautions, no online system can be completely secure, and we cannot guarantee absolute protection.

International Data Transfers

If we transfer personal information across borders, we use appropriate safeguards required by applicable law to protect that information, such as contractual protections with the recipient.

Children’s Privacy

Reactforce does not knowingly collect or maintain personal information from children under 13 years of age, and does not knowingly sell or share the personal information of consumers under 16 years of age without applicable consent. If we become aware that such data has been collected without appropriate consent, we will promptly delete it.

Non-Discrimination

We will not deny services, charge different prices, or provide a different level of quality to you for exercising your privacy rights.

Links to Other Websites

Our website may include links to third-party sites. We are not responsible for their privacy practices and encourage you to review their privacy policies before providing information.

Changes to This Policy

We may update this Privacy Policy periodically. When we do, we will revise the “Last Updated” date above and, where required by law, notify you of significant changes. Continued use of our site or services after updates constitutes acceptance of the revised terms.
